Open position of operational coordinator, assistant to the board

Job title: Operational coordinator, assistant to the board 

The Ukrainian Association in Finland is looking for a repson to filfill a vacancy of operational coordinator and  assistant to the board.  

Position terms: full time, fixed term contract for 6 months with the possibility of prolongation, subject to performance evaluation and availability of funding.

About us:  the Ukrainian Association in Finland was founded in 1997 to unite and represent the community of Ukrainians residing in Finland and to raise awareness about Ukraine and its cultural traditions. Our aim is to support a strong Ukrainian community, the members of which, while preserving their cultural identity, are fully integrated into the Finnish society and engaged in their communities.

Responsibilities:

  • New requests intake and processing (e-mails)
  • Coordination of all inbound and outbound communication from projects (Logistics Center, AutaUkrainaa, Vallila and Lippulaiva HCs, Ukrainian Center etc.)
  • Meeting arrangement and follow up (ministries and other Finnish authorities, potential cooperation partners from Finland and Ukraine, other NGOs, donors, private persons)
  • Updating key documents of UAF (Code of Conduct, Branding Guidelines, Governance & key contacts)
  • Keeping the database of all external parties including partners, donors etc

 We expect from candidate that: 

  • you share our values and find our mission close to your heart
  • you have had at least four years of university studies/ or vocational education in Political or Social Science, Business Administration, or any other relevant field 
  • you have previous experience from working at NGOs, volunteering, running public projects or doing administrative work will be considered a plus
  • you are fluent in Finnish and Ukrainian. English is considered a strong plus
  • you are a people person, a team player with excellent analytical and communication skills, and a can-do attitude. You are able to see the big picture and are not afraid to “get your hands dirty”
  • you are highly interested in NGO activities and committed to learning and personal growth
  • you are prepared to work flexible hours
